Whether you are a new patient or returning to our care, we’d love to take this opportunity to share some important information about how we take care of you at MWFS.
Please read the following information prior to booking and attending your next visit.
Your First Visit
Before we look at your teeth, we’ll take some time to discuss your concerns, dental history and your treatment goals. This is a great opportunity to talk about how you feel about your teeth, what you want to achieve and let us know how we can help you. We listen – our aim is to find out how you feel about the health of your teeth and what’s important to you.
Are You In Pain?
Alleviating your pain is our priority. If you experiencing pain, swelling, infection, bleeding or have suffered a trauma, we will attend to this concern first. Once you are comfortable, we can complete the dental examination at the next visit.
The Dental Examination
We gather the information required to make a thorough assessment of your teeth and overall oral condition. For all our new patients, this comprehensive examination includes:
- the teeth including existing fillings
- the gums, looking for signs of gum and bone disease
- assess jaw joints, facial and surrounding muscles
- soft tissue exam and oral cancer screening
- digital x-rays to check for decay, disease, cracks and infection
- digital photos (inside and outside the mouth)
- cosmetic considerations
Your Individual Plan
After your examination, we sit together to discuss the findings. The treatment plan your dentist arranged with you will take care of your needs and dental goals. We’ll discuss the costs, the treatment details, and alternatives available to you and time frames involved.
Based on the findings and your wishes, the dentist will provide you with written a plan of the treatment required and length of appointments. The plan will outline the treatment in stages and/or visits prioritising what’s important to you or urgent. It will also include any additional information that you may require to assist you in making decisions about your care.
Sometimes with complex cases, the dentist may need a little longer to consider your treatment or we may require further information. In that case, we’ll see you again soon for a consultation, at no additional cost. If you’d like to bring someone with you to this visit, please do.
The Financial Side
Our patient coordinator will provide you with an estimate for the cost of your first visit when you schedule. The cost of the Comprehensive Examination is inclusive of all xrays or scans taken at the time and any additional tests performed on the day at our practice.Any other treatment such as hygiene (clean) or emergency treatment is additional.
The Costs in Your Plan
Your treatment plan will outline the costs of each visit clearly so you are aware of the anticipated fees and can plan your budget if need be. We’d like you to know that the fees are based on the available information gathered at the examination. However, during the course of treatment, unforeseen circumstances and changes may occur which can affect the treatment and the costs involved. We will inform you of these changes if they occur.
In the case of complex or long plans, we offer financial options to assist you so don’t need to feel daunted by the prospect of starting out. Spacing out treatment to suit your budget or taking advantage of a payment plan are two ways we suggest to help. We offer Humm (National Dental Plan) for eligible patients. This does not cover the initial examination or hygiene visit. Please feel free to chat to us if you’d like to know more.
We ask for payment at the time of treatment. We accept EFTPOS, credit cards and cash.
Please note we do not issue invoices or bills.
Health Fund Rebates
Make use of your dental insurance by claiming on-the-spot using HiCaps. Present your card at each visit and we will process your claim electronically so you need only pay the gap!
We have partnered with HCF and GUHealth for no gap dentistry – ask us to check your eligibility.
We need to let you know that administrative fees will be charged where the terms and conditions listed in this letter are not observed. A cancellation fee of $25 per 15 minutes is charged for all appointments that are broken without notice, cancelled or rescheduled without 2 working days’ notice.
For many appointments including all new patients, a non-refundable reservation fee applies to secure your time. This fee will be deducted from your treatment visit.
Our patient coordinator will call you after you have booked your appointment online to process your booking fee in order to confirm your appointment.
Your Time With Us Is Special
We will send a reminder as an SMS or email two or three days ahead of your appointment. For appointments made well in advance, we send an extra reminder a few weeks prior. If we don’t hear from you, we may remove your time from the schedule. We don’t want you to miss out so please respond to these reminders as soon as you receive them.
Need to Change?
Occasionally the unavoidable happens, we understand. We ask that you give us at least 2 working days’ notice to change an appointment time. Our team prepares for your treatment days in advance and so the advance warning really assists us in providing great care for everyone. It also allows us to offer the time to a patient in urgent need and sometimes, this can take time to organise.
